How the activity is organized

Surprisingly easy to organize

Our games are immersive and rich in detail, yet organizing the event is much easier for the event planner than many initially think.

Our event escape games bring the escape room experience directly to your venue, so participants don't need to travel to a separate escape room facility.

On this page, we explain how our team-building activities work in practice and what you can expect on the day of the event.

Activity at your chosen location

Cryptic Cargo creates a custom experience for your event based on the number of participants, the venue, and your specific requirements. Our games can be hosted in locations such as:

  • at the office
  • at the restaurant
  • in the meeting room
  • in the auditorium
  • in the event space
  • at the trade show booth
  • in a seminar room

In most cases, all that is needed for the games is table space. The games are suitable for everything from small team days to large staff events, kick-offs, and Christmas parties for hundreds of participants.

How does the event planning process work?

1. A solution suitable for you is designed

Event planning usually starts by filling out a contact form, where we briefly ask for the details of the occasion.

We begin planning the package by determining:

  • games suitable for the event
  • the location
  • the method of delivery
  • the number of participants
  • the available schedule

By clarifying the event details as clearly as possible at the start, we ensure that the entire experience is designed to be excellent for your specific occasion. You don't need to have all the answers to the questions in the contact form; we are happy to help you think through the aspects of your event via email or phone.

With these details, we can offer a solution perfectly suited to your event. We also tailor the price according to the package you need. The right program package is built around the event, not the other way around. Once you accept the quote, the event is locked into our calendar, and everything is set!

Closer to the event, we will go through the practical details and any special requests together.

Some of our games can also be run without a game instructor, offering a more flexible option, especially for smaller groups. We are happy to tell you more about this option during the event planning stage if you wish.

2. Games are set up at the event venue

For turnkey solutions, our game instructors arrive at the venue before the participants to set everything up.

Games can be set up, for example:

  • at the office
  • in a restaurant
  • in a meeting room
  • in a party venue
  • outdoors, weather permitting

In most cases, a standard table or even space on a blanket is sufficient for the games.

In self-service implementations, the games are delivered or picked up ready for the event, and the organizer takes care of distributing and setting up the games themselves using our instructions.

3. The event starts with a joint briefing

Once the games are set up, the event can begin. When the participants are present, the game instructor gathers everyone for a joint briefing. During the briefing, the instructor motivates the participants, goes over the game's story and practical instructions, divides the group into teams if necessary, and explains any competition involved.

Players are usually divided into smaller teams of 2–6 people, depending on the game. The games are designed so that anyone can join in easily without prior experience.

In self-service implementations, the game is usually started by watching the game videos on the gaming devices as a group.

4. The game begins

Once the game begins, teams start solving tasks together under time pressure. The games combine problem-solving, observation, insight, teamwork, and, if you wish, a touch of competitive spirit.

The game instructor is on hand to answer questions, assist groups if needed, and ensure that everything runs smoothly.

If necessary, the games can also be reset for the next groups during the event.

In self-service implementations, you can contact the game instructor by phone if needed.

5. The event concludes with a wrap-up

After the games, participants compare their experiences, solutions, and scores. If you wish, we will also announce the winning team and go through the game solutions together with the participants.

Finally, our game instructors dismantle the games and take care of tidying up the event area. Your participants can then continue their day or evening with other planned activities. For example, having a meal together is a popular activity after the game.

In self-service packages, you can also announce the winner within your own group. In these packages, the games are packed back into their own cases or bags at the end and returned to us as agreed.

Friendly competition as part of the event

Competition is always an optional part of the gaming experience and a very popular addition to the activities we organize. Teams can earn a score based on their performance.

The scoring algorithm developed by Cryptic Cargo takes into account the time spent on the game, the use of hints, and the number of solutions used. If you wish, each small group can receive their own score for their performance.

Teams can compete against each other even when games are played in consecutive shifts or even on different days. This means everyone doesn't have to participate at the same time. If you like, the game instructor will announce the winners and present the prize. The game package always includes a small sweet prize.

In short: How does the event planning process work?

Full-service or self-run?

Full-service packages

The full-service package is our most popular choice for team days, Christmas parties, and larger staff events.

Having our game instructors lead the event ensures everything runs smoothly from start to finish, allowing you to focus on enjoying the occasion and managing other event details.

Our full-service package is particularly suitable for:

  • for larger events
  • for Christmas parties
  • for team days and kickoff events
  • for any situation where you want the most effortless experience possible

Self-run events

A self-run event offers a flexible option, especially for smaller groups and tighter budgets.

The games are delivered ready to play, but the event organizer is responsible for tasks such as distributing the materials and coordinating the event on-site.

We generally recommend self-run events for groups of up to 15 people. These packages can be flexibly delivered anywhere in Finland.

Frequently asked questions

Where in Finland can we book a game?

We provide both full-service and self-run events throughout Finland. In addition to the capital region, we have hosted numerous events in areas such as Uusimaa, Tampere, Turku, and other major Finnish cities.

What kind of space is required for the games?

In most cases, a standard table is all you need for the games.

The games can be set up in a wide variety of environments without the need for a dedicated game room or extensive preparations.

Typical event locations include, for example:

  • offices
  • restaurants
  • hotels
  • meeting and event venues
  • exhibition booths
  • seminar rooms

If you are unsure whether your space is suitable for the games, we are happy to help you assess the situation.

How many people can participate?

We can organize events for organizations of any size. We have hosted many events, ranging from small teams to groups of over a thousand participants.

Is prior experience required?

No prior experience is needed to enjoy the program. Our games are designed to be easy for first-timers to jump right into.

Can the event be held at our own office?

Yes. The games work perfectly in settings such as offices, restaurants, and event venues.

What languages can we play in?

All of our games can be conducted in both Finnish and English.

How far in advance should I book an event?

The most popular dates, especially during the holiday party season, fill up quickly. We recommend booking your event well in advance.

Can all participants play at the same time?

Yes. We almost always set up multiple game stations, allowing even large groups to participate smoothly at the same time.

Participants are divided into smaller teams that solve tasks in parallel. This makes the format work well even for large staff days and other major events.

What if the participants have never played games like this before?

That doesn't matter at all. Almost always, at least some of the participants are playing an escape game for the first time. Sometimes, our games even help participants discover a new hobby.

The games are designed to be easy to join without any prior experience. The most important thing isn't special expertise, but rather teamwork, communication, and a willingness to dive in. Our games are also highly praised by groups who have played many games before.

How much preparation is required from the organizer?

In our turnkey events, our game hosts take care of practically everything related to the games on-site.

For self-guided events, the organizer handles tasks such as distributing the games and other light preparations with the help of our instructions.

How long does the program usually last?

The duration of the event depends on the chosen game and format, and we are happy to recommend an option that fits your schedule perfectly.

Typically, the program lasts about 1–1.5 hours, but we also offer shorter and longer options. The duration can also be tailored to suit your event.

How does the competition work?

Competition is always a voluntary part of the game experience. Teams can receive a score based on their performance.

The scoring system developed by Cryptic Cargo takes into account, for example:

  • the time spent on the game
  • the use of hints
  • the number of solutions used

Teams can compete against each other even if they play in consecutive sessions; everyone doesn't need to participate at the same time or even on the same day. If you like, our game host can announce the winners and hand out the prizes.

Do we need to buy a prize for the winners?

You don't need to buy a prize for the winning team, as the game package always includes a small sweet treat for the winners. However, you are welcome to provide additional prizes if you wish. Our game host can also distribute any prizes you provide.
